Tricks to improve your Gmail experience
coenjacobs.net — I’ve switched (back) to Gmail. After the problems Outlook gave me in the past, I was looking for a solution with more flexibility. Gmail has everything I need for my online business, but Outlook was the client to have for connecting with an Exchange server. Since I ’m no longer using the Exchange account anymore, Gmail is the way to go!

- chickcomedy, on 06/23/2008, -25/+5I would switch to gmail , but the hassle of switching all my friends over to a new email never works. I would lose tons of friends!
- CoenJacobs, on 06/23/2008, -2/+36Why would you? You can take your email with you, if you enable your old address as a POP3-address in your account. The email will pop in from your new and your old address and you can reply from your new (@gmail.com) address.
Just send a mail around your friend to let them change your mail, but you still receive the other address' mail!- Jptate, on 06/24/2008, -0/+1You don't even have to change your email to a @gmail.com -- you can just send E-mail from your old address(es) through Gmail (go to the Settings menu)
- ElbertF, on 06/23/2008, -1/+16I receive e-mail from 12 different accounts in Gmail. Usually you can forward your e-mails or use POP3. After verifying you can even send e-mails from those accounts directly from Gmail. You can also ex- and import your contacts.
- CoenJacobs, on 06/23/2008, -0/+6But you do have a limit of 4 or 5 sending account, isn't it? This shouldn't be bothering if you're a normal user and not a geeky i-own-100-email-adressess-user...
- ElbertF, on 06/23/2008, -1/+3If you're using POP3 yes, with forwarding you can have unlimited accounts.
- fudged71, on 06/23/2008, -0/+3312 Accounts? What are you, a "Nigerian Prince"?
- ElbertF, on 06/24/2008, -0/+3I'm a webmaster at several websites. :)

- jstohler, on 06/23/2008, -11/+4You're an idiot.
- fudged71, on 06/23/2008, -3/+6Guys... he's talking about importing contacts, not retrieving his email, or some ***** like that.
Most email clients provide a simple contact import/export. I have tried it with Gmail, and it does in fact work... it just depends on what you are switching from.
The benefits of Gmail are worth the switch, in almost all cases - afidler, on 06/24/2008, -1/+10"I would lose tons of friends"
Now come on man, I doubt any of your friends would stop being your friend just because you choose Gmail. If they do, then, I guess they never really were your friends anyways.- theOster, on 06/24/2008, -2/+6i've defriended people because they still have "@aol.com" at the end of their email
- ZeRux, on 06/24/2008, -0/+3How you can even begin to compare AOL with Google??
- theOster, on 06/24/2008, -2/+6i've defriended people because they still have "@aol.com" at the end of their email

- elliottdotorg, on 06/23/2008, -0/+31Switching is really easy. I've been on gmail for a few years, and I love it. The ability to manage multiple email accounts makes it really great for people without access to an Exchange Server.
- CoenJacobs, on 06/23/2008, -0/+8Support for a Exchange server within Gmail + Google Calendar should be on top of my wishlist though! :)
- djJohnnyG, on 06/24/2008, -2/+6If it "should be on top" of your wishlist, put it on top of your wishlist then ;)
- EricAnderton, on 06/24/2008, -0/+1However, there's no easy way to forward your Yahoo! mail account without paying Yahoo.
- krc1, on 06/24/2008, -0/+1Gmail--->Settings--->Accounts--->Get mail from other accounts.
- bennettj1087, on 06/24/2008, -0/+3I think he's stating that Yahoo does not give POP access to emails unless you're a "premium" customer (by "premium" I mean a customer who's paying money for something everyone else can get for free).
- dandelorey, on 06/24/2008, -0/+0Pay the fee for one month, POP your email from Yahoo to Gmail, let all your contacts know about the email switch and use the remainder of the month to make sure they switch. I know changing addresses can be hard, but, seriously, why remain tied to a company that won't give you free POP? It's your data. Move it to a company that won't hold it hostage to guarantee your loyalty.
- CoenJacobs, on 06/23/2008, -0/+8Support for a Exchange server within Gmail + Google Calendar should be on top of my wishlist though! :)
- tbk123, on 06/23/2008, -9/+20I really like gmail and use lots of the tools, but one thing I don't like is how it "stacks" my email threads, I've overlooked a few emails this way, like being buried at the bottom of a stack of papers. Also I think it's a little dorky to call emails "conversations," hee.
- CoenJacobs, on 06/23/2008, -1/+15Besides calling the stacks 'conversations' I love the stacking! It's a great way to keep your (here we go again) conversations together and it's easy to navigate. What exactly is bothering you in this?
- ElbertF, on 06/23/2008, -0/+2Apparently they're still experimenting with it, you can see an "end conversation" button in this concept: http://tinyurl.com/4psnq2
Source (Techcrunch): http://tinyurl.com/6no9mo- CoenJacobs, on 06/23/2008, -0/+2That looks like a chat based upon a mail-conversation. Is that possible already, or is it just a bunch of new functions?
- ElbertF, on 06/23/2008, -0/+3Ah you're right, and no it's not possible yet. :)
- CoenJacobs, on 06/23/2008, -0/+2That looks like a chat based upon a mail-conversation. Is that possible already, or is it just a bunch of new functions?
- Farrel, on 06/24/2008, -0/+9I have heard this complaint before. I am intrigued that your complaint is what I like the most about gMail. I guess "different strokes for different folks".
- theOster, on 06/24/2008, -0/+8as with others, i love this feature (i wish to god outlook had something similar) - and it only collapses an email once you've looked at it.
(have you ever tried "finding similar" in outlook? lol. just lol.) - megamod, on 06/24/2008, -0/+2How can you overlook the conversations? It marks it as a new e-mail in your inbox and when that conversation is in there it uses the date of the most recent e-mail to sort it, so that it WILL be at the top. I don't understand why some people have such a hard time with that =.
- CircleFusion, on 06/24/2008, -0/+1This was a feature that I thought was strange at first, but I recently joined a couple mailing lists and this feature is perfect for it. It makes mailing lists much easier to follow.
- Spectre77, on 07/05/2008, -0/+1I'm a fan of conversations, they were especially nice for group projects in college where we basically treated the gmail conversations as forum threads to keep track of progress, attachments, ideas, etc. My only complaint is that emails can't be removed from conversations without deleting them. I had a thread of emails with a fellow craigslister about a transaction, and another craigslister responded to the ad which showed up in the middle of the existing conversation (since they used the same Subject line), which I thought was kind of inconvenient. It would be nice if there was a way to "pull" emails out of a conversation without deleting them.
- mjsamps, on 06/23/2008, -6/+11I would love Gmail like a brother if it just offered up some folders where I could store conversations. I "get" archives but it's just not as easy as having folders you can drag/drop e-mails to.
- CoenJacobs, on 06/23/2008, -0/+37The folders actually are one of the topics in this article. It describes why you aren't able to create folder, but you are using filters and labels.
You can add multiple labels to a single email, instead of putting it in one single folder. That's the true power of the labels! - ryansmith18, on 06/23/2008, -0/+19It takes a little getting used to, but labels are far better than folders. More flexibility in your organization that way.
- WomensUnderwear, on 06/24/2008, -14/+1labels are for FAGS
- luchid, on 06/24/2008, -0/+6Homophobia is for closeted redneck white trash.
- WomensUnderwear, on 06/24/2008, -14/+1labels are for FAGS
- fokov, on 06/24/2008, -0/+5I like drag/drop, but for things like work I always used address rules to automatically filter/sort emails. Also when you see your boss' name with (1) or more like me (10) next to it, you know you better start reading his or her email messages :D
That also works as a simple (fake) whitelist. If anything is left in Inbox, it shouldn't be there or is spam. Once the rules are setup, it was always junk or another customer emailing me directly when they shouldn't be.- sinembarg0, on 06/24/2008, -0/+3But you can do all that with filters and labels too. It tells you how many new mail from each filter you have on the left side too.
- theOster, on 06/24/2008, -0/+1browsing folders still takes more time (figuring clicking the folder then scanning the dates til you find what you want) than rattling off a few words in gmails search box...
- eldridgea, on 06/24/2008, -0/+3Yeah, labels are folders on steroids!
(Check out http://class-technology.blogspot.com/ for more info.)
Sorry for the comment abuse. - DangerCollie, on 06/24/2008, -0/+1I thought Gmail was considering adding folders? Pretty sure I read that somewhere. My preference would be to have folders and labels, with folders being a place one could put email you want to save but don't want cluttering up your archive.
I'm aware that the archive is just as efficient without the folders but it's a mental crutch for people used to working that way. If adding folders makes GMail more widely accepted, put them in there. It would help me. I'm pitching Gmail to a new customer as their email solution and they're whining about wanting folders. Never mind all the money they save, the folders! Think of the folders!- Lemon, on 06/24/2008, -0/+3They're only thinking of adding folders because a million idiots don't understand how to label and archive... frustrates the crap out of me. I know people with 5,000 emails in their friggin inbox. They won't listen to reason or advice...
- Spectre77, on 07/05/2008, -0/+1I really wanted folders instead of labels at first, then realized: they are essentially the same thing. They could keep the exact same functionality in place, rename the whole thing Folders instead of Labels, and people would be happier.
- CoenJacobs, on 06/23/2008, -0/+37The folders actually are one of the topics in this article. It describes why you aren't able to create folder, but you are using filters and labels.

- drewie123, on 06/23/2008, -0/+7I have also been on Gmail since forever and it's still the best. Some pretty sweet tips in this article, thanks for the share!
- bgrah449, on 06/23/2008, -1/+11Tech writers need to stop writing "Tricks" articles about Google. Their products are already usable. They just keep going through the motions.
- drgmdp, on 06/24/2008, -0/+4mostly when those "tricks" are things everyone else knows but him
- bbliss17, on 06/23/2008, -6/+3sounds good
- cuzzy, on 06/23/2008, -0/+39moved to gmail many years ago and love it. Now if only I could get all of my friends onto gchat.
- ryansmith18, on 06/23/2008, -2/+10I got most of my friends to start using GTalk last year. I uninstalled all other chat programs (AIM, MSN, etc, including Trillian) and only used GTalk. They eventually all installed it because they couldn't contact me on the other programs.
Of course this does require that your friends have a desire to talk to you.... so some people will just never use GTalk. /cry :(- j4nj1m3n3z, on 06/23/2008, -2/+8Well you can sign onto your AIM screename on GTalk.
- feedmecereal, on 06/23/2008, -1/+18Why not just use Pidgin or some other multi-protocol client?
- theOster, on 06/24/2008, -2/+3i like pidgin but it took me a while to realize why the gf was always saying i was less than 3...
- norz, on 06/29/2008, -0/+1One good reason: because google chats are archived in gmail, meaning emails and chats messages are all stored online in the same place.
- Firehed, on 06/24/2008, -1/+2There's an AIM client built into Gmail's Gchat interface, though Digsby is by far the best installed IM app (and covers pretty much every protocol out there, plus plenty of other stuff).

- bpapa, on 06/23/2008, -15/+12Trick #1 - set up IMAP access and use a real client (Apple Mail?) instead.
Seriously, I used GMail in the browser for years, but just got sick of doing things in a browser that are easier in a desktop application. Plus all the new stuff in Leopard really makes it sweet.- vpshockwave, on 06/24/2008, -2/+10Or Thunderbird.
- passedoutghost, on 06/24/2008, -1/+1Yeah having 3 gmail accounts which I can access with just one password makes things a lot easier for me. [I'm not being sarcastic btw]
- maxpower2911, on 06/24/2008, -8/+3Fanboi alert.
- OrangeSoda31, on 06/24/2008, -3/+4Or not? The conversation threads are well worth dealing with a browser.
- rotten777, on 06/24/2008, -1/+2which also works in thunderbird. :)
- zwaldowski, on 06/24/2008, -0/+1No way, *really*? I'm being totally serious. Great!
- ericshuff85, on 06/24/2008, -0/+0Which also works in Apple Mail 3.0. :)
- rotten777, on 06/24/2008, -1/+2which also works in thunderbird. :)
- theOster, on 06/24/2008, -1/+2i'd get used to being in a browser, else be ready for a rude awakening - also, my previous comment about searching a 3GB exchange mailbox for "related" threads... doesn't even come close to gmails speed
(i know thats an awkward sentence...deal with it)- bpapa, on 06/24/2008, -2/+1Why should I get used to being in a browser? Not sure if you've noticed but the overwhelming majority of "web applications" held together by duct tape and javascript run like *****. People have been saying for a few years now that "the web is the new application platform", but with Apple kicking ass with Cocoa I'm sorry, I just don't see that happening anytime soon.
- theOster, on 06/24/2008, -0/+1alternatively, you could just hole up with apple.
- bpapa, on 06/24/2008, -2/+1Why should I get used to being in a browser? - emddudley, on 06/24/2008, -1/+3What kinds of things are easier in a desktop application? I had been using Thunderbird for a while but generally just use the web interface now. I honestly can't think of any strengths a desktop application has over the web app.
- bpapa, on 06/24/2008, -0/+2Message navigation is the biggest thing. And "oops, I just hit the back button, now I just broke everything" doesn't happen in a Desktop app.
- krc1, on 06/24/2008, -0/+2I don't care what email you use, but I'm skeptical of anyone hitting the "back button" while they're in gmail. You'd have to make a real effort to do so. If you like a desktop application, fine, just say so. But this reason seems a little bogus.
- bpapa, on 06/24/2008, -0/+1Via keyboard shortcuts? It's not that hard to make that mistake.
Another thing that consistently annoyed me in the browser was pagination. Sure, with AJAX it's fast, but it's still not as fast as just scrolling down. I'm AMAZED at the speed of using IMAP GMail + Apple Mail. I actually was hesitant to even try it because I thought it'd be too slow, but it's blazing. Searches for 3 year old emails take less than a second.
There's a laundry list of things. I used it in the browser for years, now I've switched back to a regular client and I couldn't be happier.

- digitalpencil, on 06/24/2008, -0/+1same, i recently setup mail and ichat to access gmail. That plus dropbox and i've got all the features i'd use with .mac free!
- vpshockwave, on 06/24/2008, -2/+10Or Thunderbird.
- shoutingbrown, on 06/23/2008, -2/+11Seems nonsensical to say he switched from Outlook (an e-mail client) to gmail (webmail). Anyway, no one need use Outlook when Thunderbird is free (and better).

- ElbertF, on 06/24/2008, -0/+1They are both clients. Gmail is to Outlook what Gdocs is to Word.
- xeyr, on 06/24/2008, -0/+4The summary, and article, say that outlook was required for exchange server.
- theOster, on 06/24/2008, -2/+2i gotta say, as much as i hate much of the microsoft apps, i think outlook really is a pretty good desktop app (at least better than thunderbird) meh...my 2¢

- nickert0n, on 06/24/2008, -0/+2I hear that, as much as I am uncomfortable with google having access to pretty much all of m private data.
I'm sorry but combined with docs, calendar, and gmail 50% of my web time is google services.

- davidbeile, on 06/24/2008, -2/+9Gmail ftw!
- Croecop, on 06/24/2008, -17/+1Hotmail FTW!
- luchid, on 06/24/2008, -0/+2Not even close. Hotmail is even worse than AOL when it comes to webmail. And that's saying much.
- AppleGeorge, on 06/24/2008, -6/+3I love Gmail. I use Mailplane on OS X, which is a Gmail client and it's incredible. Definitely check it out if you use OS X and Gmail.
- Firehed, on 06/24/2008, -1/+8$25 for a Webkit window that always points to Gmail.com? I think I'll pass on that one. If it was a more traditional mail app that properly interpreted the IMAP folders for labels, then we'd be talking.
- AppleGeorge, on 06/24/2008, -2/+3Last time I noticed, it was free for me. Then again, all the apps I download are free. And it's more than just a webkit window that points to Gmail. Integrated iPhoto support and keeps it organized. It's all preference, some like it, and some don't. Just like some use Firefox and other's Safari.

- gorndog, on 06/24/2008, -1/+2Here's a tip for those who access their gmail using an e-mail client (e.g., Thunderbird, Outlook) and also want Trash to work like normal Trash, not gmail's "archive". This tool will move to gmail Trash all messages that exist in your archive but have no label. http://launchpad.net/gmarchivetrasher
- CyDharttha, on 06/24/2008, -0/+6'Trash' and 'archive' do not have at all the same meaning to me as to what you are portraying here. Trash is where things go before they are deleted. Archive is where things go that I want to save, but don't want cluttering my inbox anymore. Seems odd that you would want to mix the two. A number of companies we manage actually have Exchange set up to empty users' trash bins periodically, whether the users like it or not. If that is your archive, seems like a bad organizational method.
Going slightly off-topic, it frustrates me to no end that I must 'archive' my Outlook/Exchange mail to my local machine to keep Outlook from slowing to a crawl when accessing my growing inbox. Meanwhile, the size limit of my GMail account continues to grow and dwarf Outlook/Exchange capabilities :D- gorndog, on 06/24/2008, -0/+0It is a side-effect of Google using "labels" and how IMAP works.
Some e-mail client applications that access the GMail folders using IMAP will cause messages to be "archived" instead of being deleted.
Microsoft Outlook and Mozilla Thunderbird are two such e-mail client applications.
This script can be run to send these "archived" messages to GMail's Trash folder. Messages that have any label are left as "archived" and only the messages without any label are moved to Trash by the script.
Once in the Trash folder, the messages will then be deleted after 30 days, or manually using the GMail web interface by clicking the link titled "Empty Trash".

- ragley, on 06/24/2008, -3/+7there is something other than gmail?
- onesandzeroes, on 06/24/2008, -0/+1Snailmail is the only other viable alternative. There is simply no email (whether web-based or otherwise) that compares. Why drive a Yugo when you can have a BMW?
- ccalabro, on 06/24/2008, -0/+1the labels appear in outlook and apple mail as folders? we switched to google apps and haven't looked back. I still use outlook to imap to my gmail account because i prefer the non conversation views for work mail. Folders are there just as they were before. The one thing I really recommend is using gmail to do the filtering rather than rules on the mail client. this way it all gets handled in the cloud.
- gphalf, on 06/24/2008, -3/+2Gmail rocks the house. I've been a user *forever*, and there is no rival to it.
- Yusayoh, on 06/24/2008, -3/+3Long time GMail user, and I love it. I'd also love it if the site wasn't down
- diggler00, on 06/24/2008, -4/+0The article description implies that this guy once switched from Gmail to Exchange. Anyone that ever willingly switches from Gmail to Exchange should be punched in the face
- triggerfish45, on 06/24/2008, -3/+2So basically the monthly, "Gmail has tabs you should use it" article post. Thanks.
- samyoungguitar, on 06/24/2008, -4/+7checking my email isn't a ***** experience.
- Archeologist, on 06/24/2008, -6/+1If you have no friends.
- samyoungguitar, on 06/24/2008, -3/+1I'm just sorry that checking your email is the highlight of some of your days and you require an "experience" from it to feel fulfilled.
- HydrogenOxide, on 06/24/2008, -0/+1Does anyone know a way to get Gmail to automatically archive my read messages?
- revisrev, on 06/24/2008, -0/+0I know of no way. You could create a filter, but since they are only run on messages as they enter the inbox, you would have to manually run the filter whenever you wanted this job done. You could use the button that says "Archive" after you're done reading each e-mail... I've gotten into this habit. You could also use the keyboard shortcuts, which I believe is "Y" to archive, which will take you back to your inbox, and then "O" to open the next message.
- Wrongbutton, on 06/27/2008, -0/+0To manually archive all previously read messages search for "is: read", then select All (including the link "Select all conversations that match this search"), the Archive from More Actions drop-down.
Going forward, just develop the habit of archiving every message you read with button or keyboard, as revisrev suggests.
Anyway, all your message are "archived" anyway, regardless of whether you remove the Inbox label or delete them.

Using outlook for anything other than exchange is idiotic anyways. You didn't have an epiphany, you caught up to common sense.- natenovs, on 06/24/2008, -0/+2what about hotmail with the outlook connector. gives me my contacts and my mail offline. imap cant do that.
- bizpat72, on 06/24/2008, -2/+1Another site that can't handle the truth
- LoudMusic, on 06/24/2008, -0/+6So what you're saying is, I should use the features that are clearly displayed on my screen every time I look at my mail?
Yeah. I do that. Got anything else? - danahyatt, on 06/24/2008, -1/+0Gmail filters all the spam from my e-mail. However when I check my other e-mail account on ya ya I have 30 spam mails a day. I've been a Gmail user for 1 year and like it very much.
- bloodwings, on 06/24/2008, -1/+2loved gmail for years. been begging everyone to move to gtalk from msn. i hate the slow msn software. i don't need winks and dinks and emo-cons and flash ads and useless features on crappy software. i just wanna chat. the transistion from msn will not be complete until msn allows us to chat with messenger users on gtalk, then all will be well.
- robzyc, on 06/24/2008, -0/+5Good article, although a lot of articles like this. Organise your mail, stop pissing around on Facebook, do work, it simple :)
Looks like his server is suffering with the Digg effect though :( - bl4k3r, on 06/24/2008, -1/+1I did not know that labels, stars and archiving were considered "tricks".
- tcpip4lyfe, on 06/24/2008, -1/+1I use Outlook to check my gmail. Straight outlook is the best email client by far and anyone that doesn't agree is only kidding themselves. I love open source and linux but there is nothing even close to outlook.
- s32843, on 06/24/2008, -0/+1it's too bad that i have used yahoo mail for almost 10 years. i am searching a way to move all emails in my yahoo account to gmail.
- liquilife, on 06/24/2008, -1/+1I snagged a gmail account in the first week of beta and got a fairly exclusive username. I thought I was cool as *****. Nowadays I get more email intended for other people then for me. Not so cool anymore, am I?
- eastlondoner, on 06/24/2008, -4/+0I'm switching from Kellogs brand Corn Flakes to Asda. I'm gonna write a ***** stupid ass blog for all you bastards to read.
- zohaibusman, on 06/24/2008, -1/+3so Gmail is good.
- lochness, on 06/24/2008, -0/+3Filters and labels FTW !!!
- elyobelyob, on 06/24/2008, -0/+1I do an IMAP check of my main email accounts, which I filter via labels into folders e.g. account1@example.com. However to make the full swap, I would want to be able to setup my email software to only collect from certain labels. I don't want to download the main account, nor all the folders, just ones that I want in particular.
- CoenJacobs, on 06/24/2008, -0/+1Don't know if this is possible, but if I have to guess it's not possible because you can't select what email you collect... That would mean that you can't select a certain label to (don't) collect.
